The hardest part of AI for most owners isn't the technology. It's knowing where to start. Here's a simple way to choose.
Start where money is leaking
Look for places where you're losing customers, cash, or hours because something slips through the cracks. Common ones:
- Missed calls and slow replies. A lead who doesn't hear back often calls the next business on the list.
- Leads that never get followed up. Quotes sent and never chased.
- Invoices that go out late or never get chased. Work done, money not collected.
- Scheduling back-and-forth. Phone tag that eats hours every week.
- Reviews you never asked for. Happy customers who'd have said something if asked.
- Typing the same information into three systems.
Pick one project using three filters
1. It happens often
A task that happens daily or weekly pays off faster than one that happens twice a year.
2. You can measure it
You should be able to count something before and after: missed calls, response time, days to get paid, hours spent. See How to Measure AI ROI.
3. A mistake won't be a disaster
For your first project, pick something where an occasional error is easy to catch and fix. Save the high-stakes work for later, once you trust the system.
A good first project looks like this
- Small enough to set up in days or a few weeks, not months
- Uses tools you already have where possible
- Has one person responsible for checking it
- Has a clear before number and a clear after number
A practical order for most businesses
- Respond faster. Missed-call text-back and instant lead replies. See Automate Missed Calls and Automate Lead Follow-Up.
- Get paid faster. Invoice and reminder automation. See Automate Invoicing and Collections.
- Cut the busywork. Scheduling and data entry. See Automate Scheduling and Automate Data Entry.
- Grow your reputation. Review requests and steady social content. See Automate Reviews and Automate Social Content.
Your business may need a different order. Your AI blueprint in Rescue HQ suggests one based on your application.
Before you buy anything
- Write down how the task works today. If you can't describe it, you can't automate it. Build Your First SOP for AI shows you how.
- Check what your current tools already do. Many scheduling, invoicing, and phone systems have automation built in that nobody turned on.
- Read [Choosing AI Tools Without Getting Burned](/learn/choosing-ai-tools-without-getting-burned).
What not to start with
- A big custom build before you've proven a small win
- Anything that replaces a human conversation your best customers value
- A tool someone sold you on before you knew what problem it solves
Start small, prove it works, then build on it.
