When you're on a job, with a customer, or closed for the night, calls go to voicemail. Many callers don't leave a message. They call the next business instead. Missed-call automation gives every caller a fast response, even when nobody can pick up.
What it does
- Someone calls and nobody answers.
- Within a minute or two, they get a text: "Sorry we missed you. This is [Business]. How can we help?"
- They reply by text, and either a person picks up the conversation or an AI assistant collects the details: name, what they need, where, and when.
- You get a summary and can call back the ones that matter most first.
A more advanced version uses an AI voice assistant that answers when you can't, but text-back is the simpler place to start.
Before you start
- Count your missed calls. Most phone systems show this. Get a few weeks of numbers so you can measure the change.
- Check your phone provider. Many business phone systems and VoIP services have missed-call text-back built in.
- Make sure your number can send texts. Business texting in the US generally requires registering your number with the carriers (often called 10DLC registration). Your phone or texting provider can walk you through it.
Step by step
1. Write the text-back message
Keep it short, friendly, and clear about who you are. Include an easy way to get help and a way to stop messages. For example:
"Hi, this is [Business]. Sorry we missed your call. Reply here with what you need and we'll get right back to you. Reply STOP to opt out."
2. Decide what to collect
List the three to five things you always need to know: name, service needed, address or area, timing, and how urgent it is.
3. Set up the conversation
Either a person replies during business hours, or an AI assistant asks your questions in order and sends you the answers. Give the assistant your service area, hours, and services so it doesn't promise things you don't do.
4. Route the results
Send the summary where you'll actually see it: a text to the owner, a shared inbox, or a new record in your CRM.
5. Test it
Call your own number from a cell phone and don't pick up. Try a normal request, an urgent one, and an odd one.
Rules to follow
- Only text people who called you, about what they called about. Don't add them to marketing texts without their explicit permission.
- Honor STOP immediately.
- Don't let AI quote prices or promise appointments unless you've given it exact rules.
- Have a human path for emergencies. If your business handles urgent situations, make sure the message says what to do.
What to measure
- Missed calls per week
- Percentage of missed callers who reply
- Jobs booked from missed calls
- Time from missed call to callback
