Quote faster, ship on time, and keep the paperwork clean.
Small manufacturers and machine shops compete on speed, quality and reliability, but much of the day goes to quoting, order entry, chasing materials and producing quality paperwork. When a key person is out, things stall. AI can speed up quoting, take over order entry, watch inventory, and keep quality and compliance records organized, while your people stay focused on production.
Sound familiar?
- "RFQs pile up, and by the time we quote, the customer has gone elsewhere."
- "Orders come in by email and PDF and someone has to type them into the system."
- "We run short on material because nobody saw it coming."
- "Quality paperwork and certs take forever and audits are stressful."
- "Only one or two people really know how things work around here."
What we fix first
Faster RFQ response
The problem: Requests for quote arrive as emails, drawings and PDFs, and estimating is slow and dependent on one or two people.
The fix: AI reads each RFQ, pulls part numbers, quantities, materials, tolerances and due dates, matches similar past jobs, and drafts a quote from your rates and past pricing for the estimator to review.
What changes: Quotes go out sooner and estimators focus on judgment calls, not data gathering.

Order entry without the re-typing
The problem: Purchase orders arrive in many formats and are keyed in by hand, with errors.
The fix: Incoming POs are read, checked against the quote and entered into your system, with mismatches in price, quantity or date flagged for review.
What changes: Less manual entry, fewer order errors, and faster acknowledgments to customers.

Materials and inventory you can see coming
The problem: Shortages surface on the shop floor, causing rush orders and missed ship dates.
The fix: Inventory is tracked against open orders and lead times, shortages are flagged early, and supplier POs are drafted for approval.
What changes: Fewer surprises on the floor and less money spent on rush material.

Quality and compliance paperwork
The problem: Inspection records, certs and corrective actions are scattered and hard to pull for audits.
The fix: Inspection checklists are captured digitally with photos, certificates are collected and filed by job, and corrective actions and calibration dates are tracked to completion.
What changes: Audit-ready records with much less scrambling, and a clear history for every job.

Shop knowledge and production visibility
The problem: Know-how lives with a few senior people, and the owner lacks a live view of throughput.
The fix: A staff assistant answers setup, procedure and safety questions from your work instructions, and dashboards show on-time delivery, throughput and scrap by job and machine.
What changes: Less dependence on a few key people and earlier warning when production slips.

Do this week
- Track how long each RFQ takes from receipt to quote sent for the next two weeks. That's your baseline.
- Create a shared inbox or folder where every incoming PO lands, so nothing sits in one person's email.
- Set minimum stock levels for your ten most-used materials and check them weekly.
- Record a senior machinist or operator walking through one setup on video, and turn it into a written work instruction.
- List every certification, calibration and audit date in one calendar with reminders.
Numbers to watch
- RFQ turnaround time and quote win rate
- On-time delivery
- Order entry errors
- Material shortages and rush purchases
- Scrap and rework rate
By team size
- Just you
- As a one-person shop, start with RFQ intake and quoting so you can respond fast without stopping production.
- 2–10 people
- With a small team, quoting and order entry usually fall on the owner. Automate those first, then add inventory alerts.
- 11–50 people
- With dedicated estimating and production staff, focus on order entry, materials planning and quality documentation.
- 51–250 people
- At this size, connect your ERP or job-tracking data to dashboards and roll out the staff knowledge assistant across shifts.
- 250+ people
- With multiple lines or facilities, standardize documentation and reporting across sites, and use forecasting for materials planning.
Questions owners ask
Does this work with our ERP or job-tracking system?
We check your system during scoping. Many can connect directly; where they can't, AI can still prepare data for import or work through email and shared folders.
Can AI read our customers' drawings?
AI can pull text-based information from drawings and PDFs, such as part numbers, materials, quantities, notes and tolerances written on the print, to speed up review. An experienced estimator should still check anything that drives price or process.
We handle controlled or export-regulated work. Is that a problem?
It changes what tools we can use. We scope data restrictions first and keep regulated data out of any system that isn't approved for it.
Will this disrupt production?
It shouldn't. We start with office-side workflows like quoting, order entry and inventory, and only touch shop-floor processes once the team is comfortable.
